# Set column permissions in Team View

> **New column permissions are rolling out between October 15 and October 26, 2026.** If your column settings still show an **Overrides** section, your company hasn't moved to the new permissions yet.

Column permissions control which columns each role can see in the employee table. Every column has a setting for each role in your company: **Can view** or **Can not view**. This lets you show sensitive data, like equity or demographics, only to the roles that need it.

You need a role with edit access to the Team View settings permission to change column permissions.

## How column permissions work

* **Each role's permissions are set by column.** A role sees a column only if it's set to **Can view** for that column. There is no default that applies to roles you haven't set.
* **Roles combine.** If a user has more than one role, they see a column when any of their roles can view it. Adding a role to a user can only give them more columns, never fewer.
* **Only roles with Team View access count.** A role needs access to employees in Team View before its column permissions apply. If a role without Team View access is set to **Can view**, that setting takes effect only once the role is given Team View access.

## Equity, compensation band, and demographic data

Some columns contain equity, compensation band, or demographic data. What a user sees in these columns also depends on the matching data permission in their roles:

* If none of a user's roles has the equity permission, equity columns don't appear for them, even if their role can view the column. The same applies to demographic columns and the demographics permission.
* If the permission covers only some employees, the column appears, but values are blank for employees outside that scope. For example, a manager whose equity permission covers only their direct reports sees equity values for their reports and blank values for everyone else.
* Band columns appear for roles that can view them. Values are blank for any employee the user's compensation bands permission doesn't cover.

## View column permissions

Go to **Team View > Settings > Columns**. The **Permissions** column in the list summarizes each column's settings:

* **Viewable for all roles** or **Hidden for all roles** when every role has the same setting
* **Can view** and **Can not view** with a count of roles when settings differ. Hover over a count to see which roles have that setting.

To see the table the way a specific role sees it, select **Preview**, then choose one or more roles. If you choose more than one role, each column shows the highest access among them.

## Change permissions for one column

1. Go to **Team View > Settings > Columns**.
2. Select a column to open its settings.
3. Open the **Permissions** section. Roles are grouped into **Roles with product access** and **Roles without product access**.
4. For each role you want to change, select **Can view** or **Can not view**. To change several roles at once, select them and choose **Set access**.
5. Select **Save**.

You can search for a role, filter by access level, and sort by role, permission, or number of members.

## Change permissions for multiple columns

1. Go to **Team View > Settings > Columns**.
2. Select the checkbox next to each column you want to change. To select every column currently shown in the list, use the checkbox in the header.
3. Select **Change column permissions**.
4. Select the roles you want to change.
5. Choose **Can view** or **Can not view**.
6. Select **Apply**, then select **Apply** again to confirm.

Changes made with **Change column permissions** take effect as soon as you confirm. You don't need to select **Save**. A column you just created must be saved before you can include it in a bulk change.

## Set up new columns and roles

* **New columns:** only the Admin role can view a new column. Set access for other roles in the **Permissions** section before you save.
* **New roles:** a new role can't view any columns. Select the columns it needs, then use **Change column permissions** to give it access in one step.

## Things to know about column permissions

* Column permissions are per role, not per employee. Everyone with the same role sees the same columns. Which employees a user can see is controlled by their role's employee access.
* When you delete a column, its permissions are deleted with it. When you delete a role, its column permissions are deleted too.
* Admin roles follow the same rules as every other role. If an admin role is set to **Can not view** for a column, users with only that role don't see it.

## Troubleshoot column permissions

**A user can see a column I set to Can not view for their role:** The user likely has another role that can view the column. Check every role assigned to the user. If any of their roles with Team View access is set to **Can view**, they see the column.

**A column is visible but some values are blank:** The column contains equity, compensation band, or demographic data, and the user's data permission doesn't cover those employees. Check the role's equity, compensation bands, or demographics permission in **Settings > Roles & Permissions**.

**A user can't see a column I just created:** New columns start as **Can view** for the Admin role only. Open the column's **Permissions** section and set the user's role to **Can view**.
