Configure employee eligibility

Use this page to control which employees appear in the planner and what planners can do with them. The page header reads: "Select which employees are eligible for this merit cycle. Ineligible employees will appear in your planner, but won't be eligible for compensation adjustments. Hidden employees won't appear in your planner at all."

The three eligibility statuses

Every employee in the cycle is assigned one of three statuses:

Eligible: The employee appears in the planner and can receive compensation adjustments across all pay types. This is the status for employees you are targeting in this cycle.

Ineligible: The employee appears in the planner but is read-only. Planners can see the employee for reference (for example, to understand reporting relationships or team structure), but compensation fields are locked and no adjustments can be entered. Typical example: recent hires who are too new to receive increases.

Hidden: The employee does not appear in the planner at all. Planners have no visibility into hidden employees. Typical examples: executives and contractors.

The status counts for each tab (for example, "Eligible (42)") are shown in the tab bar and update automatically after any changes.


Navigating the table

The table defaults to showing the Eligible tab. Click the Eligible, Hidden, or Ineligible tab to view and manage employees in each group. Switching tabs resets your current selection.

Table columns: Employee (name and title), Level, Country, Department, Employment Type, Last Salary Change, Start Date, Termination Date.

Employment Type displays as: Full Time, Part Time, Contract, Intern, Co-op.

The table is paginated at 25 rows by default. You can change the page size to 25, 50, 75, or 100 rows per page.

Search: Use the search bar to find employees by name or email. The placeholder shows the total count of employees in the current tab (for example, "Search 127 employees"). Searching resets pagination and clears your selection.

Column filters: Click Filter in the control bar to open the column filter menu. You can filter by Level, Country, Department, Employment Type, Start Date, Termination Date, and Last Salary Change. Date fields support before/after/range filtering. Text fields let you select from available values. Active column filters apply within whichever status tab you are currently viewing.


Changing eligibility status

Individual or bulk changes via the table:

  1. Check the box next to one or more employees (or use the header checkbox to select all on the current page, with support for selecting all across pages).
  2. Once at least one employee is selected, action buttons appear: Mark as eligible, Mark as hidden, and Mark as ineligible. Only the buttons that would actually change status are shown. The button for the status you are currently viewing is hidden.
  3. Click the target status. The change applies immediately and the counts in the tab bar update.

For large updates, the system may process the change asynchronously. In that case, you will see a notification: "This will take a few minutes to reflect in the worksheet. We will notify you when it's complete." For smaller updates, a success toast confirms how many employees were updated (for example, "5 employees marked ineligible").

All eligibility changes take effect immediately. There is no draft or pending state. Once you click a status button, the change is live for planners.

Uploading a CSV:

The CSV upload option is available on the Eligible and Hidden tabs only. It is not available on the Ineligible tab, and it is not available on finalized cycles.

The upload button label reflects the current tab: "Upload eligible employees" or "Upload hidden employees."

To upload:

  1. Click the upload button in the control bar.
  2. In the modal, drag and drop a .CSV file or click Browse Files.
  3. The CSV must contain employee email addresses in a single column with no header row. Emails are matched case-insensitively and trimmed of whitespace.
  4. After upload, Pave verifies each email against your company's integration. Any emails that do not match are flagged as invalid and listed in an "Errors Found" table. You must fix invalid emails in the file and re-upload before the change can be applied.
  5. If all emails are valid, click Upload to apply. The upload adds employees to the existing list and does not replace or overwrite current eligibility assignments.

Finalized cycles

When a cycle is finalized, the eligibility table becomes fully read-only:

  • Row selection checkboxes are removed
  • Status update buttons are not shown
  • The CSV upload option is not available

No eligibility changes can be made on a finalized cycle.


Audit log

Click Audit log (top right of the page, visible to admins with configuration access) to open a side drawer showing the full history of eligibility changes for this cycle. Each entry shows the timestamp, the name of the person who made the change, and how many employees were moved to which status (for example, "Marked 12 employees as ineligible"). The audit log is read-only. If no changes have been made yet, the drawer shows: "Eligibility has not been changed for any employees."
