Connect HiBob

HiBob is an HRIS integration that syncs employee, job, and compensation data to Pave. HiBob supports two connection methods: API (recommended for most customers) and SFTP.

Which method should I use?

  • API: Use this method if your organization can create a Service User in HiBob. This is the recommended approach because it syncs the most data and updates automatically.
  • SFTP: Use this method if your organization requires file-based data transfer. SFTP setup requires assistance from Pave's team.

Before you connect

API method

You need a HiBob Service User and a custom permission group before connecting. Complete both steps below before continuing.

Step 1: Create a Service User

  1. In HiBob, go to Settings > Integrations.
  2. Select Automation, then Service Users.
  3. Click New Service User.
  4. Enter "Pave" for both the Service User Name and Display Name.
  5. Copy the ID (format: SERVICE-XXXXX) and Token (40-character string). Save both in a secure location. The token will not be visible again after you close this screen.

Step 2: Create a custom permission group

  1. In HiBob, go to Settings > Account > Permission Groups.
  2. Click Add permission group.
  3. Enter "Pave" as the Group name.
  4. Click Edit (bottom left).
  5. Under Add Specific Employees, select the Service User you created and click Apply.
  6. Once the Service User appears, click Apply at the bottom right of "Select people by condition."
  7. Click Create, then Confirm.
  8. Under People's data, enable the following scopes:
    • People > Address > View selected employees' Address sections
    • People > Basic Info > View selected employees' Basic Info section histories
    • People > Basic Info > View selected employees' Basic Info sections
    • People > Home > View selected employees' Home sections
    • People > Lifecycle > View selected employees' Lifecycle sections
    • People > Payroll or Compensation Info > View selected employees' section histories
    • People > Payroll or Compensation Info > View selected employees' sections
    • People > Work > View selected employees' Work section histories
    • People > Work > View selected employees' Work sections
  9. Click Save.
  10. Review the permissions, click Apply, then confirm with Yes, Apply.

SFTP method

Contact your Pave Customer Success Engineer or email support@pave.com to receive SFTP credentials. Your CSE will help configure the connection.

Connect HiBob to Pave

API method

  1. In Pave, go to Connections and find HiBob.
  2. Enter your Service User ID (for example, SERVICE-12345).
  3. Enter your Token (the 40-character string from step 1).
  4. Click Submit.
  5. Go to Connections and verify the HiBob integration shows as connected.

SFTP method

  1. In HiBob, log in as an admin and go to Settings > Integrations.
  2. Search for SFTP and click Connect.
  3. Enter the SFTP connection details provided by Pave:
    • Username and password (from Pave)
    • Port: 22
    • Host: provided by Pave
    • Path: /
  4. Create a report in HiBob with the following fields:
    • Employee ID, Start Date, Employment Type, Title, Level, Department
    • City, State, Country, Zip Code
    • Manager ID
    • Salary, Currency
    • Target Commission (if applicable), Target Bonus (if applicable)
  5. Configure the report to export as CSV on a weekly or daily cadence, and set the destination to the SFTP address above.

Troubleshooting

Invalid Service User ID or Token The Service User ID must follow the format SERVICE-XXXXX (13 characters). The Token must be exactly 40 alphanumeric characters. Double-check both values. If you no longer have the token, create a new Service User in HiBob.

No data appears after connecting (API) Verify that the Service User has been added to the Pave permission group and that all required scopes are enabled. Pave can only sync fields that the Service User has permission to view.

Connection shows in error state Click Resolve on the HiBob integration in Pave to re-enter your credentials. If the issue persists, verify that the Service User has not been deactivated in HiBob.

Stale data (SFTP) Check that your HiBob report is still running on schedule and delivering files to the SFTP address. If the report schedule was paused or the SFTP credentials changed, data will stop updating.

Fields that sync

Custom mappings may apply to your account.

API method

  • First name, last name, preferred name
  • Work email
  • Gender, ethnicity
  • Job title, department, employment type
  • Manager name, manager email
  • Start date, termination date
  • Work location (city, state, country, zip code)
  • Base salary (annualized from reported pay period)
  • Variable pay (bonus, variable compensation)
  • Photo URL

Additional data (API method)

  • Compensation history: Pave syncs full payroll history from HiBob by default, not just the current pay record.
  • Custom tables: Pave can sync additional HiBob custom tables beyond the defaults. Contact your Pave team to configure these.
  • Benefits: Not available through the standard HiBob integration.

SFTP method

The SFTP method syncs a smaller set of fields based on the report you configure:

  • Employee ID
  • Start date, title, level, department
  • City, state, country, zip code
  • Manager ID
  • Base salary, currency
  • Custom fields: Supported. Add any additional fields to your HiBob report and they will sync to Pave.
  • Compensation history and benefits are not available through the SFTP method.
