Get started with Workday EIBs
Pave can turn the results of a merit cycle into Workday Enterprise Interface Builder (EIB) spreadsheets. An EIB is the spreadsheet format Workday uses to load changes in bulk, such as new salaries, one-time bonuses, stock grants, and promotions. Instead of building these spreadsheets by hand, you tell Pave once how your cycle's columns map to Workday's fields, and Pave fills in the spreadsheets for you whenever you need them.
Pave builds the files, and you download them and load them into Workday. You don't need a Workday integration connected to Pave to use this feature.
What you can generate
Pave supports four Workday EIBs. Each one covers a different kind of change.
| EIB | What it's for | Who's included by default |
|---|---|---|
| Request Compensation Change | Ongoing pay changes, such as merit increases, market adjustments, and annual bonus target changes | Employees who aren't being promoted and have a pay change |
| Request One Time Payment | One-time cash payments, such as a bonus payout | Employees who aren't being promoted and have a one-time bonus |
| Add Stock Grant | New equity grants | Employees who aren't being promoted and have a new grant, plus anyone with a discretionary equity grant |
| Change Job | Promotions, including the job change and the compensation, bonus, and equity that come with it | Employees who are being promoted |
Generated files follow Pave's standard Workday template for each EIB. If your Workday tenant uses a different template version, or a template with added or reordered columns, compare the two before loading the file.
Change Job is made up of a main sheet plus sub-processes, each on its own sheet in the same file. For example, Change Job: Propose Compensation carries a promoted employee's new pay, and Change Job: Request Stock Grant carries their promotion grant. Each sub-process you want filled needs its own configuration.
Who's included by default is a starting point. You can set your own rules for who's included in each EIB, with one exception: the main Change Job sheet always includes every promoted employee, though you can still choose who appears on each of its sub-process sheets. For the full default rules and how to change them, see the article on filling in a Workday EIB configuration workbook.
Workday business processes that aren't listed here can't be generated from Pave.
Where to find it
Workday EIBs are set up per merit cycle, in the cycle's configuration.
- Go to Compensation Planning and open the cycle's configuration.
- Select Cycle settings.
- Under Cycle downloads, find Workday EIB configurations.
For more on this page, see Configure cycle settings.
How it works
- Download the configuration templates. On the Workday EIB configurations row, click Upload EIB config, then click the here link in the upload window. You get one configuration workbook per EIB and per Change Job sub-process.
- Fill in a workbook for each EIB you need. For each Workday field, you choose which cycle column or fixed value fills it, and you can choose which employees are included. See the article on filling in a Workday EIB configuration workbook.
- Upload the workbooks to your cycle. Pave checks each workbook against Workday's template and lets you know by email if anything needs fixing.
- Generate the EIBs. Pave builds the files from your cycle data and emails you a download link.
For the steps in Pave, from uploading through downloading your files, see the article on uploading configurations and generating Workday EIBs.
Permissions
To upload configurations and generate EIBs, you need:
- A role with access to the Workday EIB Configuration permission, listed under Connections in role permissions. The default Admin role includes this permission.
- Edit access to cycle configuration, so you can open the cycle's settings.
For how to update a role, see Configure role permissions.
Things to know
- The cycle doesn't need to be finalized. Each file reflects your cycle data at the moment you generate it. If planners make changes afterward, generate the file again.
- Reward letters are a separate feature. Sending reward letter PDFs to Workday uses a direct connection to Workday, not EIBs. See Send reward letters to Workday.
