Role management lets account admins assign Pave roles to users within their company, and control which products each role has access to at any point in time.
Permissions
Roles comprise a set of permissions which determine what employees with the role can access & do in Pave.
For customers using Total Rewards, Visual Offer Letter, and/or Compensation Planner, the following permissions are available for each listed role:
- Admin - Highest access, can view and edit everything
- Employee - Can only view themself
- Integrator - Can view and edit integrations
- Manager - Can view and edit their report tree
- Recruiter - Can view and edit their candidates
- Recruiting Manager - Can view and edit all candidates

Action permissions
Define what a user can do using a given feature.

- view: Gives read-only access to the feature

- edit: Gives edit access to the feature for users to make updates/ changes to the feature
View permissions
Define who a user can see within a given product or feature.

- themselves: Can only access themselves in the feature

- directReportsOnly: Can access their direct reports (anyone who reports directly to them). In the Total Rewards portal, this view also includes viewing themselves.

- reportsOnly: Can access everyone beneath them in their reporting line (anyone who reports directly or indirectly to them). In the Total Rewards portal, this view also includes viewing themselves.

- custom: Can access a custom group of employees as defined by department, the direct reports or reports of an individual, specific employees, or location.

- all: Can access every employee in the company
Reusable Filters
Reusable filters allow you to save custom filters and reuse them across different roles, saving time and making role management simpler. All changes to a reusable filter are automatically applied to any role with that filter connected.
Creating the filter
- Click Save as a reusable filter to save an existing filter or navigate to Manage reusable filters to create one from scratch.
- Give your reusable filter a unique name
- Click Create
Connecting the filter to a role
- Select custom in the permission view dropdown
- Click the filter search box
- Click the reusable filter to connect
- Save your permissions
Edit a reusable filter
- Navigate to the Manage reusable filters section
- Click the edit icon next to the reusable filter you want to edit
- Update the filter
*Updates will be applied automatically to all roles connected to the reusable filter. You can see all roles connected to a reusable filter in the Manage reusable filters section*
Detach a reusable filter
If you need to modify a reusable filter without applying changes to all other connected roles, you can detach the reusable filter and modify from there. This acts as a copy-and-paste of the reusable filter rules, so any changes to the reusable filter will no longer impact this role after detaching.
Steps to Update a User’s Role
- Review the permissions included in the given role to confirm that the permissions & access provided by the role match the access you wish to give the employee
- To confirm that the role is the right fit for this user, you can Impersonate a User in this role to preview the access provided by the role
- Add the user to the desired role & save your changes
- You can always Impersonate the user once you’ve updated their role to confirm the updates made to their access
Assign Users to a Role
1. From Settings, click Roles & Permissions
2. From here you will see all roles available on the left of the screen. In the center of the screen, all Pave products that are enabled for this role will be shown. With the role on the left selected, you can click Assigned Users to see who is currently assigned to a role and add new users.
3. Click Add User. You can search employees by name or paste a list of comma-separated emails
4. Click save. A green toast notification will confirm your update was successful:
Manage Product Access by Role
Product-area access can be controlled on a role level by enabling/disabling the blue toggle for a product as shown below:
Once you enable a product toggle, expand the dropdown to view the role’s current permission settings. Here you are able to adjust the access for the role based on the different products and the access you want the role to have for each product. Remember to Save all desired role changes.

Bulk Assigning Roles
You can assign a role to multiple users when you are in Settings>Users.
From the Users tab, you can search for and select multiple users at once then you can click the Assign role button to assign all selected users to a specified role.
Bulk Removing Roles
You can also remove a role from multiple users when you are in Settings>Users.
From the Users tab, you can search for and select multiple users at once then you can click the Remove role button to remove all selected users from a specified role.

- Yes - users can have multiple roles assigned.
